Overview
This was a project to add a new management layer on top of the core Brixx financial modelling product.
We'd been working closely with an influential Yamaha Motors Dealership who had already adopted Brixx for their financial needs.
They helped us build the Yamaha motors financial template and specify new requirements for Brixx. Through their influence, we were able to expand a further trial of 25 dealerships to continue to validate the solution and ensure Brixx has all the financial capabilities needed to model a Yamaha dealership.
🎯 The goal was to develop this partnership further with the potential of expanding to 1000+ dealerships across the UK.
At this scale they needed better visibility on franchisee dealership projections in a transparent way. We worked with them to design a management layer that would give easy access to all dealer financial plans.
We wanted to build this in a way that the functionality could benefit our existing userbase or other franchise deals in future.

Research
Through working with our Yamaha users we identified a number of areas to explore:
A Yamaha motors financial template
Management capability to view and manage plans across UK
Management capability to update templates for their franchisee users (to keep stock range and prices up to date each year)
Role and permissions for users with access to multiple financial plans
New accounting calculation and reporting requirements for the franchisee dealerships
New reporting consolidation requirements
Whilst we were testing with the pilot users, we chose to work on a subset of these that could have application across our wider userbase.
The first of which was a system to manage financial templates.
We'd had great success increasing our sign up conversion rates with a basic financial template that helped users get started with Brixx. Since implementing this, we'd learnt about the most common industries adopting Brixx and wanted to build an expanded template system to serve these industries.
Industry template system
I worked with the team to build out our template system, adding more support in our backend for us to build an expandable library. I collaborated with our product manager to create the templates themselves based on our knowledge of how existing users used the platform.
Users could select a template when creating their Brixx business plan to get started quickly with a pre-built set of planning components tailored to that industry.
We used the same system to add our newly create Yamaha Dealership template ready for use by our pilot users.
I modified our onboarding flow to accommodate a new template step
I designed a new template screen which included the new Dealership template. Each template was a blueprint financial model for each type of business.
The plan creation and template screen were part of an optimised onboarding flow that had proven conversion success rates.
The end of the onboarding sequence would land the user in a plan with their account set up, a financial model ready to go and a get started guide.
Management layer
Whilst the template system was an obvious win to roll out to all our existing users, the management layer needed more planning and consideration.
We wanted it to form a revamped administration area that could work for Yamaha, other franchisees and our existing accounting advisor partners accounts.
There were some common requirements that worked across all these use cases:
Improved role and permissions management
Improved business plan management
Consolidation of business plans
Template creation and management
White labelling and custom portals
I mapped out how this would impact our existing admin area before starting to consider some of the frontend implications.
Management screens
The first main function is for franchisor managers to be able to view all dealerships and their financial plans that have been submitted through the platform.
Managers can then dive into any particular dealership to understand their financial outlook using Brixx financial forecasting software.
I designed with white labelling in mind with a number of icons, colours and images built to be customised for different brands.
User roles & permissions
A new tier of roles at the franchisor level is required to dictate access to sensitive financial information across potentially hundreds of organisations.
Administrators can give other users specific access to just the dealerships they need to see. Region-based access can be easily assigned and is indicated on their profile.
The platform handles the two-way relationship between franchisor and franchisee. Franchisee users create their accounts through the white-labelled sign-up screen below.
This places the dealership in a pending state with a trial licence of Brixx that they can begin using. The franchisor managers can then approve them from the administration platform granting them a full licence.
Admins can create Brixx templates and publish them to dealerships by region. These templates are preset Brixx models that the administrators can adjust to contain the latest Bike models, equipment and other materials for the upcoming year.
